Job Description

The Project Coordinator supports the construction management team by providing administrative and project coordination support throughout all phases of construction. This role ensures smooth communication, accurate documentation, and efficient project execution by managing document flow, reports, and project tracking. The ideal candidate is detail-oriented, organized, and experienced within the construction industry.

Responsibilities:

  • Coordinate project documentation including contracts, RFIs, submittals, drawings, and change orders.
  • Maintain accurate project files and ensure document control processes are followed.
  • Assist Project Managers with scheduling, meeting coordination, and progress tracking.
  • Prepare, distribute, and track project reports, logs, and meeting minutes.
  • Handle incoming and outgoing project correspondence, phone calls, and emails.
  • Support the preparation of bid packages, project closeout documents, and other administrative materials.
  • Communicate effectively with internal teams, subcontractors, clients, and vendors.
  • Utilize project management and construction software to maintain up-to-date project information.
  • Ensure compliance with company policies, safety regulations, and project requirements.
  • Perform other duties and administrative tasks as required to support project operations.

Qualifications:

  • Education: Associate's or Bachelor's degree preferred (Construction Management, Business Administration, or related field).
  • Experience: Minimum 2+ years of experience in the construction industry, preferably in a project admin or coordination role.
  • Knowledge of prevailing wage helpful
  • Technical Skills:
    • Proficient in Microsoft Office 365 (Word, Excel, Outlook, PowerPoint)
    • Experience with MS Teams, and various construction software
    • Strong understanding of document management and construction project processes
  • Soft Skills:
    • Excellent organizational, communication, and time management skills
    • Strong attention to detail and ability to multitask in a fast-paced environment
    • Proactive, dependable, and able to work both independently and collaboratively
